Payment Ledger records how receivable and payable vouchers are linked and allocated. It supports accurate outstanding calculations even when accounting entries are adjusted or reposted.
Before you begin
Confirm the correct Company, currency, receivable or payable account, and bank or cash ledger. Use submitted source documents and keep the bank reference or remittance advice available.
Use Payment Ledger
- Open the Payment Ledger report or inspect it from a supported transaction.
- Filter by Company, party, account, voucher, and date range.
- Compare invoice rows with the payment or credit rows allocated against them.
- Use the originating voucher for corrections instead of editing ledger rows directly.

Important fields and what they mean
| Field | What it controls |
|---|---|
| Voucher Type and No | Invoice, Payment Entry, credit note, or other source voucher. |
| Against Voucher Type and No | Document to which the amount is allocated. |
| Party Type and Party | Customer, Supplier, or another supported party. |
| Account | Receivable or payable account. |
| Amount | Ledger amount in account currency. |
| Delinked | Indicates an allocation that has been removed through a supported process. |
What happens after you submit or process
ERPNext updates the relevant accounting records and, where applicable, the outstanding or unallocated amounts. Review the General Ledger, party ledger, and source document status before treating the workflow as complete. A saved draft does not affect the ledger.
Troubleshooting
The expected invoice or payment is missing
Check the Company, party, account, currency, document status, posting date, and whether the amount is already allocated or reconciled.
The totals do not balance
Compare the actual bank amount with allocations, fees, withholding, discounts, write-offs, and exchange differences. Record every difference in an explicit account instead of changing the source invoice.
I selected the wrong document
Do not create a second payment to hide the mistake. Cancel, amend, or unreconcile through the supported workflow, then verify the ledger before reapplying the amount.
Frequently asked questions
Does saving a draft affect the General Ledger?
- The accounting effect occurs only after the relevant document is submitted or the reconciliation is processed.
Should I edit a submitted invoice to match the bank amount?
- Record the actual payment and explain legitimate differences with allocations, deductions, credits, or exchange entries.
